Role Overview

The Site Services Associate provides front desk coverage and general site support during assigned shifts. The role assists residents, visitors, and staff with routine inquiries, supports day-to-day building operations, completes basic facilities tasks, and documents site-related requests. The position serves as a central point of contact to help ensure the site remains organized, responsive, and well maintained.

Key Responsibilities

Administrative Reception & Access Support

  • Greet visitors and manage sign-in procedures.
  • Assist with visitor sign-in procedures and coordinate key/fob requests with Facilities.
  • Answer phone and email inquiries related to daily operations.

Building Systems & Service Requests

  • Review building notifications or service alerts and forward items to maintenance or vendors.
  • Submit and track work requests to ensure timely completion.
  • Maintain basic records of service issues and follow-up.

Common Area & Facilities Checks

  • Conduct routine walkthroughs of interior common areas to identify lighting, housekeeping, or maintenance needs.
  • Submit work requests and communicate issues to the appropriate department.

Minor Repairs & Maintenance Coordination

  • Complete basic, low-risk tasks such as light bulb replacement, battery changes, minor adjustments, or furniture setup.
  • Coordinate with maintenance teams or external vendors for specialized repairs.
  • Document completed repairs and follow-up actions.

Central Contact & Coordination

  • Serve as a point of contact for routine site matters.
  • Receive, prioritize, and escalate issues per approved escalation protocols.
  • Maintain multi-site contact lists and coordinate with internal teams or external vendors.

Documentation & Reporting

  • Maintain daily activity and service logs, system status reports, and communication records.
  • Prepare summary reports for leadership and support regulatory reporting.
  • Track corrective action outcomes.

Procedures & Communication

  • Follow established procedures by contacting maintenance, management, or emergency services when required.
  • Provide clear communication and updates during service-related matters

Required Qualifications

  • High school diploma or equivalent required
  • Experience in customer service, facilities support, or property operations preferred
  • Comfortable working independently during evening or overnight shifts
  • Basic computer and communication skills
  • Comfortable with building systems dashboards and basic software tools.

Working Conditions

  • Primarily front desk and office-based environment with frequent interaction with residents, visitors, and service providers.
  • Includes evening, overnight, and weekend shifts as required.
  • May involve periodic walkthroughs of common areas and light facilities tasks.

Salary range:

  • $19–$24/hour plus standard employee benefits

  • Understanding of nonprofit governance and fiduciary responsibility
  • Strong communication and collaboration skills
  • A connection to the local community and an interest in seniors’ issues
  • Willingness to dedicate approximately 5–10 hours per month to board and committee work
